Adapting for a training session, a tourist leaflet, and a workplace guide

Activity time: 3 min

Goal: Teach professionals to adapt the same information for different contexts and audiences by adjusting style, format, and level of detail.

The same information can look very different depending on who will read it and where it will be used. Adapting content means adjusting tone, length, structure, and format so it works for the audience and the setting.

Before (same text used for all audiences)

In the event of a fire alarm, all building occupants are required to cease their activities immediately, collect their belongings if safe to do so, and proceed in an orderly fashion towards the designated emergency exit points as indicated on the posted evacuation maps. Once outside, please assemble in the pre-assigned meeting area in the main car park until further instructions are provided.

After (adapted for three contexts)

ContextPurposeFormatStyleExample
Training sessionTeach participants the process in a classroom setting; allow practice.Step-by-step explanation, visuals, live demonstration.Clear, practical, interactive.“If there’s a fire, leave the building through the nearest exit. Follow the signs on the wall. Let’s walk the route together now.”
Tourist leafletQuickly inform visitors about safety rules without overwhelming them.Short text, icons, simple map.Friendly, direct, very short sentences.“If you hear the fire alarm, follow the green signs to the exit. See map on the back.”
Workplace guideProvide staff with a permanent reference.Written guide with headings and checklists.Professional, precise, easy to scan.“Fire evacuation: 1) Stop work. 2) Take the nearest safe exit. 3) Go to the meeting point in the car park. See p. 12 for the floor plan.”

Tip: Always start by asking:

  • Who will read this?
  • When and where will they use it?
  • How much time will they have to read it?
The answers will guide your choices in language, layout, and level of detail.

Try it

Choose one topic (e.g. recycling rules, using a first aid kit, or visiting a museum). Write a short version for a tourist leaflet, a detailed version for a training session, and a reference version for a workplace guide.
